Detailed Payment Terms & Cancellation Policy for Vietnam Tours
Unless VIETNAM SHORE EXCURSIONS explicitly advises otherwise in writing (at its sole discretion), the following comprehensive payment terms and cancellation policies will apply to all tour bookings:
Payment Terms for Your Vietnam Tour Booking
To confirm your booking and secure all services for your trip, we require a 60% deposit upon your receipt of our official PayPal invoice. This upfront payment allows us to reserve accommodations, secure necessary permits, and confirm local services.
The remaining balance of your tour payment is due at the end of your tour. You have the flexibility to pay this outstanding amount in cash – either in USD (United States Dollars) or in the local currency, VND (Vietnamese Dong), calculated at the prevailing exchange rate on the day of payment. Alternatively, you may choose to pay the balance online in advance via PayPal, Credit Card, or Debit Card for added convenience. Your booking will be instantly confirmed upon successful receipt of your deposit, allowing for immediate ticket booking where applicable.
Please note: A surcharge of 3% will be applied to cover bank service fees if you choose to pay your deposit or the total outstanding payment via PayPal, Credit Cards, or Debit Card. This transparent fee ensures all transaction costs are clearly accounted for.
Cancellation Policy for Vietnam Shore Excursions
All cancellations of your booked tours must be made in writing and formally acknowledged by VIETNAM SHORE EXCURSIONS. The effective date of cancellation will be the date we receive your written notification.
The following cancellation fees, calculated as a percentage of the full tour payment, will apply:
- 40 days or more before arrival: VIETNAM SHORE EXCURSIONS will provide a full refund of your deposit.
- 39 – 30 days before arrival: You will lose 10% of the full tour payment.
- 29 – 15 days before arrival: You will lose 30% of the full tour payment.
- 14 – 7 days before arrival: You will lose 50% of the full tour payment.
- 6 – 2 days before arrival: You will lose 75% of the full tour payment.
- Less than 2 days before arrival (including no-shows): You will lose 100% of the full tour payment.
Important Note: Depending on specific supplier cancellation policies (e.g., non-refundable flight tickets, specific hotel contracts), the above conditions may be subject to modification. Any such specific terms will be communicated to you at the time of booking.
Separate Agreements
For certain clients or specific tour arrangements, VIETNAM SHORE EXCURSIONS may, at its sole discretion, have alternative and separate payment and cancellation policies in place. In such instances, if a separate, valid, and mutually agreed-upon written agreement exists, the terms explicitly outlined in that specific agreement will supersede and take precedence over the general terms mentioned above.
Limitation of Liability & Travel Participation Agreement
VIETNAM SHORE EXCURSIONS (including its agents, representatives, and employees) shall not be held liable for:
- (A) Third-Party Acts or Omissions: Any damage to, or loss of, property, or any injury to, or death of, persons occasioned directly or indirectly by an act or omission of any other third-party provider. This explicitly includes, but is not limited to, any defect in any aircraft, watercraft, or vehicle operated or provided by such other provider (e.g., airlines, boat operators, local transport companies not directly owned or operated by VSE).
- (B) Force Majeure & Governmental Actions: Any loss or damage incurred due to delay, cancellation, or disruption in any manner caused by:
- Laws, regulations, acts or failures to act, demands, orders, or interpositions of any government or any subdivision or agent thereof.
- Acts of God (e.g., natural disasters like floods, earthquakes).
- Strikes, fire, war, terrorism, insurrection, or civil unrest.
- Sickness, quarantine, epidemics, pandemics, or public health emergencies.
- Theft, or any other cause(s) genuinely beyond their reasonable control.
Participants explicitly waive any and all claims against Vietnam Shore Excursions, Co. Ltd., for any such loss, damage, injury, or death arising from the aforementioned circumstances.
Traveler Responsibilities:
- Itinerary Changes: Participants understand that the itinerary, schedule, prices, and services can be subject to alteration without prior notice for any legitimate reason, including unforeseen circumstances or operational needs.
- Health & Medical Precautions: Participants are solely responsible for ensuring they are in sufficient health and physical condition to undertake the chosen tour activities. This also includes taking all appropriate personal medical precautions (e.g., required vaccinations, carrying necessary medications).
- Travel Insurance Recommendation: Vietnam Shore Excursions, Co. Ltd. strongly advises and recommends all participants to obtain comprehensive medical/trip and cancellation insurance before their departure. This will provide essential coverage for unexpected medical emergencies, trip cancellations, or other travel disruptions.
Site Policies, Modifications, and Severability
We encourage you to review our other important policies, such as our Privacy Policy, which are also prominently posted on the Site. These policies collectively govern your visit to and interaction with VIETNAM SHORE EXCURSIONS’s Websites.
